Two different WhatsApp products

Most confusion starts here. The WhatsApp Business app is a phone app for a single person or a very small shop. The WhatsApp Business Platform is an API — no phone required, multiple people can work the same number, and software can send and receive on the business's behalf. The 24-hour service window

When a customer messages the business, a 24-hour window opens. Inside it, the business can reply with free-form text, images, documents and interactive buttons at no per-message template cost. When the window closes, free-form sending stops working — the API rejects it.

Why this exists

The window is a spam control. It makes customer-initiated conversations cheap and business-initiated ones deliberate, which is why unsolicited bulk messaging on WhatsApp goes badly.

Templates: how businesses start conversations

To message a customer outside the window, you send a template — a message whose structure was submitted to and approved by Meta in advance. Variables such as name, order number or appointment time are filled in at send time.

    Write the template

    Keep the intent single and obvious. A template that mixes an order update with a discount offer reads as marketing and is likelier to be rejected or reported.

    Declare the variables

    Every placeholder needs a realistic sample value. Missing or nonsensical samples are one of the most common rejection reasons.

    Pick the category honestly

    Utility, authentication and marketing are priced and policed differently. Sending marketing under a utility template is a fast route to a quality downgrade.

    Submit and wait

    Approval usually takes minutes to hours. Build the template before the campaign date, not on it.

Opt-in and quality rating

WhatsApp scores each business number on how recipients react. Blocks and reports lower the quality rating, which lowers the messaging limit, which quietly caps how many people you can reach the next day. Nothing about this is visible to the customer; it just gets harder to deliver.

  • Collect opt-in where the customer can see what they are agreeing to — a checkout checkbox, a form field, or a reply to a first message.
  • Record when and where consent was given, on the contact record.
  • Give every marketing template an obvious way to stop receiving messages.
  • Segment before you send. A relevant message to 300 people outperforms a generic one to 3,000 and costs your rating far less.
