What actually makes an AI voice agent usable on a business line

Latency is the whole experience
On a phone call there is no typing indicator. Silence is the only signal, and people read it as the line dropping. A voice agent has to acknowledge quickly, even if the full answer takes another moment — the same way a person says 'let me check that' before going quiet.
- Stream speech as it is generated rather than waiting for a complete response.
- Use short acknowledgements to cover lookups.
- Keep answers to two or three sentences; long monologues invite hang-ups.
Let people interrupt
Real conversations overlap. If the agent keeps talking over a caller who has already given the answer, the caller stops cooperating. Interruption handling — stopping playback the moment speech is detected and re-planning from what was said — is the difference between a voice agent and a phone menu with a nicer voice.
Draw a small, honest boundary
The tempting design is one agent that can do everything. The usable design is an agent that owns a handful of high-volume, low-risk tasks: hours and directions, appointment booking and rescheduling, order or ticket status, basic qualification, taking a message.
Do not automate the hard cases first
Complaints, cancellations, billing disputes and anything with legal or medical consequence belong with a person. Route them immediately.

Say that it is an AI
Disclose at the start of the call. It costs three seconds, it sets expectations correctly, and in several jurisdictions it is heading towards a legal requirement. Callers are markedly more forgiving of an assistant that introduced itself as one.
